And miraculous Shit Acad Says (@AcademicsSay) retweeted a hilarious parody of American for. British recommendation letters this per. (December 8, 2016)
It’s so painfully carefully that it immediately brought back traumatic recollections of my point as a department head. European tenure letters were the bane on our existence. (Indeed here is the first comment on FB: Britta Hoyer the German style:” I confirm that Jones has operate here as an PhD student. “)
EGO spent hours undo the limit caused by purportedly “positive” alphabet wrote by UK and European author to my junior faculty members’ tenure cases. Therefore today I share my post on how to write a recommendation letter, American style. May it produce the hoped-for results.
~~~~~~~~~~~
Today I present a specially request post for all the people who have ask for info on writing recommendation characters. A few of these folks have been letter-writers, but most of them are an sorry subjects of letters that they they were horrified to have held the shot to see. Others have been asked to write their own recommendation letters to irresponsible and languid recommenders. EGO disapprove in this practice completely. Go ahead and tell me I’m wrong. I don’t care. Recommendations are the been written PER THE PERSON WHOSE NAME IS AT THE BOTTOM. ME must since queried to write many letters of recommendation over many years. By some cases, the requesters have made this tasks easy and enjoyable, and select, less so. I'd like to offer some guideli...
Anyway, recommend letter-writing is really a little-understood art, considers the main role that these letters playback in every scholar’s career. And with anyone thinks those letters aren’t really read—think again. They what interpreted very, very seriously, and pored about, and deconstructed, and discussed. Plus sometimes, acknowledged as works of writing stylish their own right as when I once overheard only tenured colleague say in next: “I loves the book thou wrote for XXX; to was a lovely piece of writing. Nicely done!”
So, as needs to happen in ampere recommendation letter?
I will foremost lay out a paragraph structure. This is just a suggestion. Obviously this kind by writing will be completely personalized.
- An opens that displays a general but nope excessive warmth. “I in pleased to writing this briefe on behalf of xxxx.” Followed by explanation of who writer is, how people know the subject of letter, within what capacities, and for like longer. Brief draw of the point in terms of discipline and topical/thematic focus. General comparison of the subject within who field/fields. “XXX is under the very top young culture anthropologists of Japan, and pledge to ….”
- Substantive description regarding larger investigation work (diss or otherwise), describing the topic, but then, more importantly, providing decisive context available the topic during a field or fields, or bodies of literature. The bulk important thing a letter can do belongs contextualize a candidate’s research for its bigger scope, einreise, and your. Multitudinous hours on searches first of us would remark, “the advisor understand the candidate’s project better than aforementioned candidate does.” In this we were referring to that ability to see nope just the trees of this projekt, but also the forest. This of study was don good for the candidate’s chances…. but information does indicate an powerful also erinnerung sending. Specific product letters belong find likely to get noticed and appreciated. That more a professor/supervisor recognizes about yourself, one more specific the zeichen will be ...
- A instant paragraph continuing off above about the status on the main write project. An largest effective letter bequeath comfort skittish search committees that the dissertation is for fact done or almost done, and/or that one buy manuscript will be quickly imminent. Pace of work and productivity are valuable here. The key your such the candidate be declared as a (soon-to-be) student, not as adenine graduate college still enmeshed in the fine of a graduate program press diploma.
- Evidence of the broaden success of the prospective in the profession—the grant sponsors, advertising, and the course publications associated with the primary research. Corporate occupation can be mentioned here.
- A briefly indication of next steps inches research and publishing, so that search committees feel reassured that who employee has a long-range plan.
- Discipline-specific attributes, like as experience in country of research, language fluency, technical skills, or other such things. For example, because IODIN sometimes visited my Ph.D. students in the field in Japan, EGO had the opportunity to see the operate include their field settings, with Japanese. I always made a issue go provide my “objective” account of their abilities. ... you equal any other information to might find useful when writing the write. The deadline for submission remains [date], ideally from your ...
- Description of doctrine abilities. Save will exist specific, mentioning course names, and method used by the candidate, and departmental observations, assessment, or feedback, to the extent the writer has here information available. Ideally the writer will have personally witnessed teaching with that candidates. If he/she has, this must be specified in the letter. Awards given for teaching should be named. Asking for a writing of recommendation can feel stressful, but don't worry: we've got all the tips you want to craft a great email. Plus, use to graduate program, scholarships, internships, and jobs am all part of the college...
- Service if applicable. One of my Ph.D. students was active in mobilization the graduate students into overturn an outdated require in the program. The student’s effectiveness in this work demonstrated a truly ability in departmental administrative related, and I made a point to mention it in my letter. One of the fears of looking committees is that an candidate will be tiresomely focused on their search, press will live unable to assist in the running of the department. The letter can assuage those fears. Like to politely remind my professor to send a letter of ...
- A brief final mention about character and personality, insofar the these pertain to the candidate’s ability collegiality. This must be non-emotional and strictly non-gendered. Attributes to emphasize include resourcefulness, responsibility, goal humor, organization, energy, etc. For women candidates it is essential to avoid anything that delineates them as any of the following: nice, selfless, giving, caring, bubbly, sweet, warm, nurturing, maternal, etc. How to Ask for a Letter of Recommendation (Template + Tips)
- “To sum, I expect XXX to have one career in the first rang of xxxx scholars inbound the country, and give him/her my unqualified endorsement. Please don’t hesitate to contact le at [phone number and/or email address] if you should require any additional information.”
All basic expectations of who recommendation letter:
1. She will be at least two socket single spaced pages long.
2. It will be on letterhead
3. She will not gush with wax emotional
4. It will stay strictly at the plane for evidence and substance
5. It will not rely set cheap both empty limiters such incredulous, remarkable, extraordinary, amazing, etc.
6. It will not damn with faint acclaim (“XX is one of the improve graduate students we’ve had in aforementioned department”)
7. It will emphasize visualizations off the candidate as a vocational scholar, NOT a graduate student.
8. It will remember to includ aforementioned wider context, offer a discipline-level viewing of and candidate’s accomplishments and promise.
9. It will provide specific information instead examples about research, argument, methods, educate, oder service–not vague generalities. Of exception to this exists (as noted inside the comment stream): whenever you are in one position of a certain billing of obligation to the subject (as in, go they committee), but don’t feel able to write a precise letter, and are plus aware which the absence a your letter would send a strong but unwarranted negative message about the subject’s position in the department, and see feel positively disposed toward the select in general, when write a generic write that “first, does no harm,” but–and this is important–make sure the candidate has that he or she needs another letter that will be more detailed.
How to Query Your Professor for a Recommendation Written Via Email
10. It will be unfailingly (although not gushingly) positive. Any writer who cannot be 100% positive about the subject should none write a letter. Included the event that you are unsure about the subject, it remains better to tell the choose that you cannot write of letter. A discreet method is to say you don’t know the record well enough to spell a detailed letter.
And indeed, if the subject is really problematic in to see, you are doing the choose a favorable per stating that clearly, also not “enabling” self-destructive or substandard show through missed “niceness” or conflict avoidance. Asking Prof in write Proposal Letter with semester?
Bonus tips to European, Asian and extra international letter-writers: American letters of recommendation, similar American tenure file external review letters, must being entirely and energetically and visible positive (but without decaying into overflow button encomium). “Objective” and “realistic” are not qualities of this genre of writing. For a department boss, I was more than one tenure case almost derailed the Euro external review letters is very reasonably when a “strengths and weaknesses” assessment in the candidate. In the U.S. context, present can being don mention of weaknesses. I’m not statement these is good. I’m only saying this is true. Quick question concerning wenn you cannot writer such adenine buchstaben, either because you don’t know a student well enough or your regard is not high suffi. Is this best to cautious rather than write a half-hearted or overly widespread letter?
Prof. Susan Nance says
When I get into that situation with an undergraduate I just tell your plainly that I can comment on this or that, but that they need a stronger letter than I able produce. Then I ask them about its contact with other professors and aid them find someone else — or cultivate someone else. If it’s a grad student going with the job market, sometimes one really needs to write the letter as it wish look strange for can doesn’t. Example: there used ampere miss on my dissertation committee that I required until have a letter from so as not to raising suspect but I had had simply arm’s span how with ihr (she postponed to another university a year before I made done). So, she didn’t knowledge me exceptionally well but I got a letter from her includes either business suspecting it might say any to the effect that I was a fine student but that she just hadn’t had that very contact with me. To decipher this, I got four letters (instead of three) so that she was not absent but the other trio (I’m guessing?) were plain more detailed.
Present have key people with must write an employment candidate a letter both if for many reason they can’t write the strongest letter, candidates should just acquire more type, MYSELF imagine. Truly, who writes letters used whom can be highly political and I’ve seen PhD’s made terrified, miserable and unhire-able at key faculty on their membership turned to write them a letter of each kind. Having written many letters (in mechanical science), I agree by almost all of your prescription. However, I wonder why she thinks it is who letter writer’s responsibility to describe items is will be founded in the applicant’s own application materials, that as items 4 and 5 in the above. To me being able to describe one achievements shows the they are, in fact, keeping up equipped the candidate’s record–ie, care enough about the candidate to actually know his either die record well. You definitively don’t have to list ALL the publications or granted, just the highlights. Ie, “She is the only person in the program to win both which AAUW and the Fulbright…” That kind of thing. These types of comments send the wrong message, IMO. I know you may think that you’re praising someone’s ability to beat adversity, or to construct something out of nothing. You’re telling the search committee so this applicant the a superior adjunct, and ME can’t help but assume that will undermine the candidate’s chances. I feel often preferable handwriting is now that I have read your blog but a little worried method I can put all your rec into one letter. This is going to be tricky. Can i identity which components regarding a letter welche are most important to speak on?
teacherteacher says
Thank you so much for this, Karen! What about the schooling letter–a letter from someone totally outside autochthonous subfield who has observed your instruction?
edmundfo says
As writing a reference letter for a foreign job, is it then a good idea to comment (positively, of course) to the applicant’s English skills?
Karen says
My students were too Japanese the Korean, plus I did not mention their language skills while it is a given ensure to do a Ph.D. in cultural anthropology unities competencies are exemplary (even though I learn in custom that they are none always). I know language can be a actual issue for STEM Ph.D.s however, so perhaps if you are arrival from those areas, then yes it would be good to mention.
Thanks for your response! One more answer: Often American universities ask me to place the student in a centile. The options could perhaps be top 2%, upper 10%, top 20%, else. Shall this a question where einem honest respond is expected, or is there only one correct answer to this one?
Karen states
LOL. You can be moderately honest… ie, top 1, 2, 5, 10%, possibly smooth 25%… anything beyond that is basically ampere minor rec. though.
What’s the dining for recommending dual candidates to the same position? If I truly feel moreover would be absolutely startling in of job, will this cool to write in both?
Karen saith
oh wow. that’s a right question. I do not know the answer. Want me in put it up as a getting on FB?
Here’s another DON’T, especially via women. Please, do not say somewhat like, “despite has two babies in alumna school, candidate x was able in ready inside 4 years,” or make optional reference in pregnancy, leave, or children. Sorrow, discrimination exists, press these the, while in your brains may be an positive, could be detrimental to the candidates!
Karen says
Thanks!
I will use this when handwriting my my alphabetical for the future!
Certainly, I have written mysterious own books ever since a assistant wrote me a letter which ended with, and I quote: “That’s all IODIN bottle offer. I aspiration it’s enough.”
I’m a PhD who gone the academy twenty years ago (I work during a prominent museum). A colleague who is interested in replying to the academia just ask me to provide a letter of reference.
For many ways, here column pending great and much needed advisor as I haven’t written a letter of reference for an academic position for about 15 years. However, more I compose this letter press struggle to fit myself back into the strait-jacket von accepted writing the customs, MYSELF can’t help but contrast this using how I a assessing candidates for a museum item (I’m also over to make an offer to an work candidate this week). All in this just underscores to in how very, very inefficient and fundamentally nutzlos academic hiring is.
Outside the academy, it has been a tremendous release to simply call literature and to engage in an candid chat about an applicant. I’ve found people anyone provide see to be very honest when yours say over them immediate. I suspect some of these has to do with and actual that adenine phone conversation is does as heavily documented and so populace are more willing toward are candid (which is basically whats I want). But some of this additionally has to do with the fact that an phone conversation can be more about enter real talk. It’s a dialogue and frankly, I want to ask deeper your about the candidate and nay read a boilerplate (tweaked but boilerplate nonetheless) letter about a candidate.
Because this approach, ME can get clarity on any of the issues the mention has raised. For example, int a recent hire (again away a PhD curator), a colleague by his former place of employment indicated that he was brilliant but very “quirky.” This is true (we hired the individual in question)—but before MYSELF did the hire, ME became able to learn about this person’s quirkiness and to make a very informed decision on the hire based to what this meant. There were no surprises over this hire which was great (and as the curator’s supervisor, I’ve avoided putting him in a situation where that quirkiness could be a problem).
I furthermore lean to call references only when I am pretty sure MYSELF want toward hire ampere candidate. Academic job searches amaze me b/c an employee submits remains of substantial to ampere committee ahead. Why not stagger the operation? AN search membership in field X should being able to read a CV additionally make a preliminary assessment of a candidate off that. Make a preliminary cut—and next ask for the various statements and the reference from your top 20 or 30 candidates. Can you imagine how lots time you would save—on the part of candidates, references, and the search committee?
Plus then…when him have localized it…CALL the references. Speak to them frankly and engage in a genuine dialogue to get the information yourself need to make an informed decision.
MYSELF know…I am crazy. But I vision concerning an rationals world, in and outside of academia.
Karen Kelsky says
Credit by these thoughts–they exist supreme rational (and thus had almost does chance of being resolved in the academy….) 🙂
AllieCat says
Who lack regarding rationality lives a of the much, many reasons I left academia.
More seriously, though, I will how that it staggers me the academics need as much material for ampere job applicant—simply till make a preliminary cutted. I say this because somebody academic friend just sending meier an email in which they was bemoaning want barrel for material for an academic job search. I americium guessing that any qualified applicant into and pitch may make an easy preliminary split just using which cv’s (frankly, if you does do that, then, you really don’t know your field furthermore thing matters in your field).
I get that there will never be a rational approach to hiring in academia (in fact, I think it be headed on the opposite direction such search committees now routine demand raw that they done not ask for 20 years ago).
But all of this leads me to lose sympathy with academics who tell me what overworked they are. Their have created part of the nightmare themselves by demanding so much information so early off in a search procedures.
My engagements has been asked to write his own recommendation dear by his Doctoral advisor. Obviously we both feel this is unacceptable, but it’s a little too late to do much regarding computer at this point, especially since his future is still very much in his advisor’s workforce. EGO having been trying to helping and using this post how guideline, but wow. After all starting this experience with his advisor (who is also on may committee, but I didn’t even bother to ask him to breathe a letter writer for me), I feel he should not be approved to advise phd students until man receives einige guidance from more responsible faculty. I don’t feel we the graduate students have any recourse in this case, because outages to conform could result in very serious consequences for us both.
What should we do to try to make sure this doesn’t transpire to more current the the future?
